Are you a highly motivated team member, willing to move equipment and assist delegates at FILEX?

The event crew program offers volunteers an amazing opportunity to attend FILEX in exchange for their assistance in delivering the onsite event. Please read below for details on how YOU can become involved in this event.

We know, we know! The event crew program is a fantastic opportunity, but before you complete an application form, please take a few minutes to read through the criteria on what we are looking for in successful event crew applicants.

  • Are you an individual member of Australian Fitness Network? All event crew members must be a current Network member at the time of completing the application and at the time of the event. To join click HERE or renew your membership click HERE. If you are unsure of your Network membership status please call Network on 1300 493 832. Please note: if you complete an application and your membership is out of date or void, your application will not be reviewed.
  • Are you available for the following days: Friday 28 April, Saturday 29 April and Sunday 30 April? This includes the event crew briefing on Thursday 27 April which is compulsory for both new and returning crew.
  • Are you available to work either the morning or afternoon shift for the full duration of the FILEX Convention? Unfortunately, there is no space for part-time event crew. We cannot split AM and PM shifts or allow early marks at FILEX – please take this into account when organising your travel to and from the event.
  • Do you have excellent communication skills and show initiative?
  • Are you highly motivated and do you perform well under pressure?
  • Are you prepared to move awkward and sometimes heavy equipment?
  • Do you work well in a team environment and be proactive?

The role of event crew is imperative to the overall success of the FILEX Convention. For this reason, we consider all crew to be valued members of the events team. So in return for your hard work, you will receive the following:

  • An exclusive $60 Network voucher – this can be used to renew your next Network membership, selected CEC Courses or future Network events.
  • 12 CECs (Fitness Australia), 3 PDPs (Physical Activity Australia) and 10 CPDs (REPS NZ).
  • An event crew t-shirt and delegate pack.
  • Complimentary access to FILEX and the Australian Fitness and Health Expo when you are not on shift.
  • An opportunity to earn continuing education accreditation.
  • Entry to the FILEX delegate welcome drinks.
  • Being part of the event crew offers a great opportunity to meet other like-minded people, fellow fitness professionals and presenters from Australia and around the globe.
  • Event crew receive an invaluable insight into the fitness industry and a unique chance to be involved ‘behind the scenes’ at one of the industry’s leading fitness conventions.

Please remember – you are responsible for all your personal expenses during the convention, including travel, food and accommodation but we suggest you retain your receipts and consult a tax agent as they may be viable deductions.

All successful event crew are required for the event crew briefing on Thursday 27 April from 3 – 6pm - no if's, but's or maybe's about it! The event crew team will then be split into morning and afternoon shifts for the remaining three days. You will be required to either work the morning or afternoon shift for each day of the convention.

Due to the logistics of having Event Crew on-site, we have enlisted the help of The Association Specialists (TAS) to run the Event Crew program, along with Judy Hoey and the Area Manager team. This means there will be a few changes to the program. TAS will be deciding whether you will be on an AM and PM shift, and Area Managers will be responsible for assigning you to a specific room. Please be aware – if you become part of the event crew team, you will not be able to participate in the Thursday pre-convention workshops or 1-day summits as these clash with the FILEX event crew briefing.

Thursday 27 April
ALL CREW: 4 – 6pm

Friday 28 April
AM SHIFT: 7am – 1pm
PM SHIFT: 1pm – 6:45pm

Saturday 29 April
AM SHIFT: 7:30am – 1pm
PM SHIFT: 1pm – 6:45pm

Sunday 30 April
AM SHIFT: 7:30am – 1pm
PM SHIFT: 1pm – 5:30pm

Event crew roles will be assigned by the events department close to the event and all event crew volunteers will receive their rosters and duties on Thursday 27 April at the event crew briefing. Please see below for the duties associated with various event crew roles.

Door Monitors
  • Monitor and facilitate smooth entry and exit of delegates for each session
  • Set up rooms prior to the sessions with any specified equipment
  • Assist in enforcing the strict ‘no voice/video recording’ policy to all delegates at FILEX
  • Manage session numbers to ensure safety and equipment availability for delegates
  • Ensure that each room is cleared of any materials (including rubbish, leftover notes, etc) from previous sessions and that the presenter is ready before opening the doors
  • Be familiar with the lighting panel and liaise with the Convention Centre technical staff where necessary.
Sound Monitors
  • Monitor and manage sound system as instructed
  • Assist presenters with headsets and microphone systems
  • Help to monitor any music or other audio being used throughout the presentation
  • Ensure that unauthorised people do not touch the sound systems
  • Assist door monitors with their duties when possible.
Outdoor Session Event Crew
  • Carry necessary equipment which will include items that are heavy and awkward
  • Ensure the session is set up.
  • Meet delegates at allocated meeting point 15 minutes before the start of the session and walk to designated outdoor session location as a group, OR arrive at the outdoor session location prior to arrival of the group to ensure that the session is set up and ready to go.
  • Remain at outdoor session location for the duration of the session in case assistance is required or an injury occurs
  • Ensure that the designated area is cleared of any materials (including rubbish, leftover notes etc) from the session before leaving.
Equipment Crew
  • Assist with the unpacking and packing of equipment
  • Carry necessary equipment which will include items that are heavy and awkward
  • Ensure large sessions are set up with the correct equipment
Convention Information Desk Crew
  • Be a polite, friendly and informative initial point of contact with all delegates, VIPs and presenters at registration and throughout the FILEX event.
  • Greet delegates
  • Conduct delegate registration process in an efficient manner.
  • Have a good knowledge of event details such as program details and times, locations of presentations, amenities, Australian Fitness Expo and other important information.
  • Assist with administrative duties within the Convention Office situated adjacent to the Information Desk.
Aqua Event Crew
  • Facilitate delegate entry to sessions and monitor maximum numbers.
  • Assist presenter with equipment at the pool.
  • Please note: Aqua crew will need to make their own way to and from the ICC, Sydney on Saturday and Sunday of the event.

 

 

To be considered for the FILEX 2016 event crew, please complete one of the online application forms below ensuring that all components of the application are completed. We will not review incomplete applications.

Please be aware that submitting your application does not guarantee a place in the event crew program. All applications will be reviewed and applicants will be notified of the outcome of their application via email within 4 weeks.


Return Event Crew

If you have been a part of Network’s event crew program within the last 3 years (FILEX 2014 - 2016, WAFIC 2014 - 2016, QFIT 2015 - 2016). All return event crew will be required to:

  • Complete the 'return event crew' application form
  • Submit a passport size photo of yourself (e.g. appropriate Facebook profile picture).

New Event Crew Applicants

If you have not volunteered for a Network event or if you have volunteered at previous Network events before FILEX 2014, please complete a 'new event crew' application form

All new event crew applicants will be required to:

  • Complete the new event crew application form
  • Attach a passport size photo of yourself (e.g. appropriate Facebook profile picture)

Please do not complete the application form until:

  • You know that you can definitely attend the entire three days of duty for FILEX , plus the event crew briefing
  • You are a current, individual Network member (make sure you have your Network membership number ready)

Unfortunately, if you pull out last minute, your future event crew applications will be affected. Please be 100% sure you can attend before submitting your application!
